Disbursement Policy


The Animated Arts Learning Institute (AALI) is committed to maintaining the integrity, confidentiality, and timely disbursement of student transcripts. This policy outlines the procedures and guidelines for the request, processing, and issuance of official and unofficial transcripts to current and former students.

Policy Scope

This policy applies to all current and former students of AALI seeking to obtain their academic transcripts. It encompasses both official and unofficial transcripts and details the process for electronic and physical copies.

1.    Transcript Types

a)    Official Transcripts: These are formal, sealed records of a student's academic history, bearing the official stamp and signature of AALI. Official transcripts are typically required for admissions to other educational institutions, scholarship applications, and certain employment opportunities.

b)    Unofficial Transcripts: These are informal records of a student's academic history and can be issued directly to the student for personal use. Unofficial transcripts do not bear the official seal or signature of AALI.

2.    Requesting Transcripts

a)    Online Requests: Students and alumni can request transcripts through the AALI Student Portal, where they must fill out the transcript request form and specify the type (official/unofficial) and delivery method (electronic/physical).

b)    Written Requests: Students may submit a written request via mail or email, including their full name (at the time of attendance), student ID, dates of attendance, type of transcript required, and delivery instructions.

3.    Fees and Payments

a)    Official Transcripts: A nominal fee is charged for each official transcript to cover processing and mailing costs. The fee must be paid at the time of the request through the AALI payment portal or in person at the Registrar's Office.

b)    Unofficial Transcripts: Unofficial transcripts are provided free of charge.

4.    Processing Time

a)    Electronic Transcripts: Electronic transcripts are typically processed and sent within 1-3 business days of the receipt of the request.

b)    Physical Transcripts: Physical transcripts are processed within 3-5 business days and may take additional time for mailing, depending on the destination.

5.    Delivery Methods

a)    Electronic Delivery: Official and unofficial transcripts can be sent electronically to an email address specified by the requester.

b)    Mail Delivery: Physical copies of official transcripts are mailed in sealed envelopes. Unofficial transcripts will be mailed.

Confidentiality and Security

AALI is committed to protecting the privacy and security of student records in compliance with applicable privacy laws. Transcripts will only be released with the written consent of the student, except as required by law.

Holds and Restrictions

Transcript requests may be denied or delayed if the student has outstanding financial obligations to AALI or other holds on their account. Students will be notified of any holds and must resolve these issues before the transcript request can be processed.


AALI reserves the right to amend this policy as necessary. Changes will be communicated through official AALI channels.
